Here at Amaxra we've always been good with data but, like any business, keeping it all organized took effort. Every time anybody on our team interacted with a Customer or potential Amaxra Consultant, they faithfully tried to remember to update a series of records. It was a cumbersome system spanning multiple programs, from Excel to Outlook and even good old-fashioned paper.
Then we heard about the benefits of using a customer relationship management system (CRM). A CRM, we learned, could handle those updates for us. It could also give us better knowledge of our customers and consultants, helping us achieve better revenue and faster growth. Convinced, we built our own CRM on Microsoft SharePoint.
Our homegrown system did exactly what we asked it to, and it did help keep our data organized but there was always a niggle that it could probably do a lot more; we just didn't know what "more" was. In other words, it did "exactly what we asked it to" and we didn't know what else to ask for!
Then we found Microsoft Dynamics CRM. It turned out Microsoft had already thought through everything a growing business needs, including those things we didn't know yet.
So, with the help of some Microsoft Dynamics CRM experts who helped us set it up based on our needs, we migrated. This assistance was key; without their help, our venture surely would have failed.
The results were impressive and came more quickly than expected. Suddenly, we could leverage the management of sales, sourcing candidates, marketing to multiple audiences, customer after-sales support and more, all within already defined processes with only minor customization requirements. We also use the Outlook CRM Connector so most of our CRM tasks can be done right within Microsoft Outlook.
Since implementing Microsoft's Dynamics CRM, Amaxra has been able to automate many time‑consuming tasks and ensure greater accuracy across all of our data. We're able to nurture our relationships with our current customers and consultants and attract new customers by integrating ClickDimensions marketing automation, an add-on for Dynamics CRM. We were already using DocuSign for customers and consultants to electronically sign documents, but using the DocuSign add-on made it possible for Dynamics CRM to record the state of these documents directly and in real time (sent, reviewed and signed). Most recently, we integrated DynamicsATSto help us better track opportunities and align consultants for the recruiting side of our business. This is now tightly integrated into our CRM so we can see at any time how many opportunities we have, how many positions a consultant has been put forward for and, best of all, we can quickly search for the skills to meet customer needs.
In short, Dynamics CRM provided us the flexibility we needed to grow and allowed us to utilize other applications as part of a total, customizable solution. It keeps all our data in one place so we can easily determine our best approach in any business relationship scenario. For example, once we send a newsletter, we can see who opened it, who reviewed it and which links they clicked. This allows us to make better decisions about the right time to contact them or what to send them next.
While researching CRMs, we noticed some businesses were reluctant about such a solution, doubting the value in light of the initial costs. As a small business we're always cost conscious, but if the price tag is making you hesitate, learn from our experience – if your business has not yet looked at Dynamics CRM you are probably not achieving your full potential with your business relationships. At Amaxra, we found that the extra time we were spending with our previous system was actually costing us money in the long run. Upon implementing our new CRM system, we saw significant expense reduction overall as well as increasing efficiency in our overall processes, opening the doors to more growth. It's the epitome of working smarter, not harder. We also saved far more than we spent implementing the CRM solution plus we have gained a 360-degree view of our business, something we definitely didn't have before
